This policy explains how EquipCover Pty Ltd (ABN 80 637 316 673), “EquipCover” or “we”, collects, uses, shares and protects personal information, and how you can access or correct it or make a complaint. We follow the Australian Privacy Principles in the Privacy Act 1988 (Cth).

The short version

  • We collect the details you enter to get an insurance indication or send an enquiry.
  • We send them to our specialist insurance partner, which prepares your indication and e-brochure and arranges cover if you go ahead.
  • We keep a copy, to follow up your enquiry and to tell you about our services. You can opt out of marketing at any time.
  • We don’t sell your details, and we won’t share them with any other business unless you ask us to or agree first.

What we collect

Most of what you give us is about your business, but some of it is personal information, such as your name and contact details, and a sole trader’s ABN. We treat the whole record with the same care.

  • Business details: your ABN; the entity name, business name and location the Australian Business Register shows for it; your business type; and your business address.
  • Contact details: your name, mobile and email.
  • Equipment details: for each machine, the item type, make and model, year built, whether it’s new or used, purchase date, value, registration and state, and the insurance term you choose.
  • Payment and finance details you choose to give: how you’d like to pay, whether the equipment is financed, whether finance is approved and by which lender, and any figures you enter in the finance calculator.
  • Your indication: the figures we show you.
  • How you found us: the first page you visited, the site that referred you and any campaign tags in the link.
  • Your consent: the wording you agreed to and when.
  • Anything you tell us by email or phone.

We don’t ask for bank or card details, or for sensitive information such as health information, so please don’t send them.

How we collect it

  • From you, through the forms on this site, by email and by phone. When an indication is shown, we save the ABN and equipment details, even if you don’t go on to send your contact details.
  • From the Australian Business Register. When you enter an ABN or business name, we look it up on the government’s public ABN Lookup service to fill in your business details and confirm the ABN is active.
  • From our insurance partner. We can see what happened with your enquiry in our partner’s referrer system, such as whether a policy was taken out, and it may text or email us about it. We need this for our records and to receive any referral fee.
  • Automatically. Our hosting provider’s servers record technical information such as your IP address, your browser and the pages requested, to keep the site secure and working.

You can read this site and use the finance calculator without giving us any details. To prepare an indication we need your ABN, because cover is for businesses only, and to pass on an enquiry we need your contact details. Without them we can’t prepare an indication or send your enquiry to our partner, but you can still call or email us with a question.

How we use it

  • To prepare your insurance indication and send your enquiry to our insurance partner, so it can contact you, send your e-brochure and arrange cover if you go ahead.
  • To contact you about your enquiry.
  • To keep in touch while your policy runs and when its term ends, and to tell you about EquipCover’s services (see “Marketing” below).
  • To see which pages and campaigns bring enquiries, and to improve the site.
  • To keep records of referrals and referral fees, and to meet our legal obligations.
  • To protect the site and its forms from misuse.

Who we share it with

Our insurance partner. Every indication and enquiry goes to our specialist insurance partner, an insurance agent that arranges the cover on behalf of the insurer. We send it by email or through a secure connection to the partner’s systems. The partner uses your details to prepare your indication and e-brochure, contact you and arrange cover. It may share them with the insurer, underwriters and reinsurers, and with others involved in arranging cover or handling a claim. Once the partner has your details, its own privacy policy also applies. You’ll find the partner’s name in the e-brochure it sends you, or ask us and we’ll send you its privacy policy. Our referral disclosure explains how we’re paid.

Service providers. Our website host (Hostinger) and our email provider (Microsoft 365) store and process information for us. They handle it only to provide their service to us.

No one else without your permission. We don’t sell, rent or trade your details. We won’t share them with any other business, such as a finance broker, unless you ask us to or agree first. The only exception is where the law requires or allows it, for example a request from a regulator or a court.

Marketing

We keep your details and may contact you by email, phone or SMS about EquipCover’s services, for example when you might need cover for another machine or your policy term is coming to an end. Every marketing email has an unsubscribe link, and you can opt out at any time by replying, by emailing info@equipcover.au or by telling us when we call. Opting out doesn’t stop messages about an enquiry or policy you have with us.

We don’t share your details with advertising platforms. If we start online advertising that uses them, we’ll update this policy first.

How computer programs are used

Some steps on this site are carried out or informed by computer programs that use the details you enter:

  • Your indication. A program works out the figure from your state, the item type, its value, registration and the term. Until our partner’s system is connected, it uses example policies from our partner. Once it is connected, the partner’s rules-based software works it out from set rating tables. Your state sets the stamp duty and levies, and the equipment and term set the premium. Your name and contact details aren’t used to set the price.
  • Eligibility checks. The program checks basic eligibility, such as whether the item type is covered and within value and age limits. Our forms only accept an ABN that’s active on the Australian Business Register. Equipment bought more than 60 months ago can’t go on a multi-year policy, so for those machines the form asks you to call or email us instead.

An indication is an estimate, not an offer of insurance. The insurer decides whether to offer cover and on what terms. A person at our insurance partner, with the underwriter where needed, reviews each referral before cover is offered.

Where it’s kept and how it’s protected

Your enquiry is kept in a private area of our website that only the EquipCover team can sign in to, and in our team’s email. Our website, including those records, is hosted by Hostinger on servers in Singapore. Our insurance partner and the insurer may also send information overseas, for example to reinsurers or service providers, as their privacy policies explain.

Everything you send through this site is encrypted in transit, access is limited to the people who need it, and the forms are protected against automated abuse. If a data breach is likely to cause you serious harm, we’ll tell you and the Office of the Australian Information Commissioner, as the Notifiable Data Breaches scheme requires.

We keep your details while we have a reason to: to follow up your enquiry, to keep in touch while your policy runs and when it ends, and to keep records of referrals. When we no longer need them, we delete or de-identify them.

Cookies and browser storage

This site doesn’t use advertising or analytics cookies. While you browse, your browser keeps a note of the page you arrived on, the site that referred you and any campaign tags in the link. It stays in your browser, is sent to us only if you submit a form, and is deleted when you close the tab. Our hosting provider may set a security cookie to protect the site from automated traffic. If we add analytics, we’ll update this policy first.

Access, correction and deletion

You can ask for a copy of the personal information we hold about you, or ask us to correct or delete it, by emailing info@equipcover.au. We’ll respond within 30 days and won’t charge you. If we can’t do what you ask, for example because the law requires us to keep a record, we’ll explain why. For information our insurance partner holds, contact the partner, or ask us and we’ll pass your request on.

Complaints

If you’re unhappy with how we’ve handled your personal information, email info@equipcover.au with the details and we’ll respond within 30 days. If you’re not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

Changes to this policy

We’ll update this policy when the way we handle information changes, and the date at the top will show when it last changed.
